Overview

We are seeking a dependable and detail-oriented Executive Administrative Assistant to provide high-level support to mid-level leadership, including Directors and Vice Presidents. In this role, you will manage a variety of administrative tasks that require strong organizational skills, the ability to multitask effectively, and proficiency in Microsoft Office tools. The ideal candidate is a proactive communicator, eager to learn, and thrives in a dynamic, fast-paced environment.

Your Day-to-Day

  • Provide administrative support to mid-level management (Directors, VPs)
  • Manage calendars, schedule meetings, and coordinate logistics
  • Prepare and edit documents using Microsoft Word, Excel, and PowerPoint
  • Track and organize multiple ongoing projects and deadlines
  • Maintain organized digital and physical filing systems
  • Communicate professionally via email, phone, and in-person
  • Assist with expense reports and purchasing card (Pcard) reconciliation
  • Support onboarding and training activities for new team members
  • Handle confidential information with discretion
  • Participate in team meetings and take meeting notes as needed
  • Learn and navigate ERP systems (e.g., PeopleSoft, Concur, Oracle)
  • Provide backup support to other administrative staff when needed
  • Ensure office supplies and resources are stocked and available
  • Be present in the office 5 days/week during training; transition to hybrid schedule when appropriate

Who You Are

As a successful candidate, you will bring the following to the team:

  • An Associate or Bachelor’s degree (any major; Business preferred)
  • Experience handling Purchasing Cards (Pcards), ideally with Bank of America or similar
  • Familiarity with ERP systems and expense reporting tools, such as:
    • PeopleSoft
    • Coupa Expense
    • Concur
    • Oracle
  • A strong sense of ownership and accountability
  • A willingness to learn and adapt to new tools and processes
